OneDrive provides storage for an individual user’s files, which can be synchronised and shared with selected people.
What does this mean in practice?
It is useful for personal working documents. Files that the whole team needs to use regularly should be stored in an agreed shared workspace, such as SharePoint.
Example use case
An employee prepares a draft presentation and shares it for feedback. The finished version moves to the company’s document library, where the team can find it later.
Things to consider
Assign an owner to important materials and agree how files will be handed over when an employee leaves. File synchronisation and a data recovery plan are separate considerations.
